What Klaviyo access do I need to manage a client's email marketing?

Last updated · roles checked against Klaviyo help

The short answer

Ask for Manager. It covers campaigns, flows, sign-up forms, lists and analytics, but can't edit users or export recipient activity. For campaigns and templates only, Campaign Coordinator is enough.

What to ask for

Ask for
Manager (or Campaign Coordinator for campaigns only) User access
Minimum safe access
Campaign Coordinator if you only build and send campaigns; Manager for flows and forms too. Not Admin.
Client needs
Owner or Admin (only they can add users).

Ask for Manager (or Campaign Coordinator for campaigns only) and nothing broader. The smallest role that does the job is easier for the client to approve, easier to audit later, and simpler to remove when the work ends. If the scope of work grows, ask again for the larger role rather than requesting it up front.

What the client clicks

Send these steps to the person who holds owner or admin (only they can add users). Tick them off as you go.

What breaks if the role is wrong

  • Too lowAnalyst: view-only on campaigns and flows.
  • Too highAdmin can add or delete users, change billing and create private API keys.
  • GotchaAdmin can add or delete users, change billing and create private API keys. Ask for Manager instead.
  • GotchaManagers can't export recipient activity or active/suppressed addresses, and can't export analytics except custom reports.
  • GotchaBefore accepting, log out of other Klaviyo accounts so the invite button works.
